4 Simple Tips To Move A Big Office Efficiently

Moving a large office can seem like an exceptionally overwhelming endeavor. It may feel nearly impossible to get everything organized, moved, and set back up by your deadline; however, there are many different ways you can make relocating your large office easier on you and your crew. Here are 4 simple tips to move a big office efficiently, so you can take the stress out of preparing for the change and keep everything flowing smoothly on moving day.

1. Color Code Your Boxes 

Color coding your boxes is by far the easiest way to organize things when moving a large office from one building to another. Assign a color to each department, or even each employee, and mark each of the boxes that belong to that department or employee with the designated color. You can use colored tape, different color stickers, or even markers. Just be sure to mark the top of the box, so everyone knows where to check for the color. Make sure the door of each room in your new office is also clearly marked with the appropriate color, so movers and helpers can immediately know which box belongs to which room. 

2. Pack the Moving Truck Cubicle by Cubicle 

Packing and unpacking the moving truck can be challenging, even if you're having commercial movers take care of that part for you. The biggest problem is when everything gets mixed up and no one knows which box goes where. This can be circumvented by not only color coding your boxes, but packing the truck cubicle by cubicle. Make sure that everything from one cubicle or department is packed into the truck before you start adding boxes from the next. That way, everything that goes together stays together throughout the move.

3. Know Where Everything Is Going At the New Office 

Another frustration that can occur during a big office move is when everyone arrives at the new office, but isn't sure what (or who) goes where. Have a plan in place well before moving day that outlines which department or which employee will be where in the new office. If possible, take your crew with you to the new office before moving day, so everyone can get a feel for where their space is. When moving day arrives, employees will know exactly where to go, and with color coded boxes that are packed in the truck together, it will be easy for them to have their things set up quickly in their space without confusion. 

4. Consider Taking Very Sensitive or Delicate Items Yourself

Although commercial movers are well equipped to deal with sensitive or delicate items, it may make more sense for you to transport them yourself. Sensitive information that is stored in file folders can be boxed up and taken with you in your vehicle, so you can account for them through every stage of the move. Delicate equipment, such as computers or laptops, can also be taken by yourself or your crew instead of the movers in order to ensure that no equipment is compromised during the move. This also allows for easier and faster set up in your new office.
